Uploading Images

You can be designated as a Contributor to a Libris Library by an Administrator. Unlike Library Staff, Contributors cannot see the Admin side of the Libris Library.

After receiving your invitation to contribute and setting up your account, you have seven ways to upload files to an organization's Libris Library:

  1. Web browser: Quick and easy online image or video upload page on the organization's Public Portal. Ideal for small numbers of files.
  2. PhotoShelter Desktop Uploader: Standalone desktop app that needs prior installation, but makes bulk uploads a breeze.
  3. Adobe Lightroom: A PhotoShelter plugin allows for easy image export from Lightroom to a Libris Library.
  4. Photo Mechanic: Third party image editing and browsing application for Windows and Mac that can be configured to upload directly to a Libris Library.
  5. Libris Uploader mobile app: The fastest way to get images and videos from an iPhone Camera Roll to a Libris account.
  6. PhotoShelter Photographer account: Copy images from a standard PhotoShelter account to a Libris Library.
  7. Incoming FTP: Library Staff can set up incoming FTP credentials for you (username & password), and then you can use an FTP client (e.g. Transmit, FileZilla, CyberDuck) to efficiently upload files to their Library.

Activate your Contributor account

If you are designated as a Contributor, you will receive an email inviting you to activate your account. Depending on whether or not you've had prior experience with Libris or PhotoShelter, this email may look slightly different:

1. If it's your first time interacting with Libris/PhotoShelter:

You will have to create a new account and set a password. This password in combination with your email will be your single login for all Libris or PhotoShelter accounts you have access to, both now and the future.

Once you click "Accept Invitation," you'll be taken to the organization's Public Portal, where you'll set your password.

After your account is first activated, you can go to the Contributor web uploader, or learn more about your role as a Contributor.

In the future, you'll need to log into your Contributor account on the organization's Public Portal, so look at the URL in your browser's address bar and make a note of it.

2. If you have previously set a password (for example, if you were previously invited to contribute to a different Libris account, or you already have a PhotoShelter account): you will be reminded that your email address is already registered, but you'll still need to activate your role as a Contributor with this specific organization.

Once you click "Accept Invitation," you'll be taken to the organization's Public Portal, where you'll be prompted to log in with your email address and password.

After your account is first activated, you can go to the Contributor web uploader, or learn more about your role as a Contributor.

In the future, you'll need to log into your Contributor account on the organization's Public Portal, so look at the URL in your browser's address bar and make a note of it.

Upload images via web browser

1. Log into your Contributor account at the organization's Public Portal (e.g. xyzcorp.photoshelter.com). Once you have entered your email and password, you'll find the invitation dashboard that will be your single unified summary of all of the different Libris and/or PhotoShelter accounts you can access.

2. Find the Libris account you'd like to upload to and click "Upload Photos." You'll be taken to the web uploader.

3. Drag and drop the files you want to upload into the browser window.

4. Enter a short description of the files.

5. Click Upload.

6. You can also find this uploader after logging into the Portal by clicking "Upload" in the top navigation menu.

Upload with the PhotoShelter Desktop Uploader app

PhotoShelter Uploader is a desktop app that allows you to send images to Libris without using your web browser. This standalone application generally provides a more stable method when uploading large numbers of images and provides tools like transfer stats, bandwidth throttling, file queuing and pause/resume capability.

Above: The left pane of the PhotoShelter uploader shows the files on your desktop, while the right pane shows the Collections or Galleries in an organization's Libris Library you have been invited to contribute to. Simply select the folder on the left and the Collection on the right, or the image on the left and the Gallery on the right, and click the green Transfer button.

Above: to access your upload settings, click Prefs in the top toolbar of the PhotoShelter uploader. It is recommended that Contributors leave "Ignore already uploaded files" unchecked (OFF) to prevent unintentional upload skipping.

Upload with the Lightroom plugin

With PhotoShelter's Lightroom plugin, you can export images directly from a Lightroom catalog to an organization's Libris Library.

1. To get started with the Lightroom plugin, follow these Download and Install instructions.

2. Once you have the plugin installed in Lightroom, just select the image(s) you'd like to upload, right click on a selected image, and select Export>Export...

3. Select Export To: Libris. Log in with your Contributor account and click Connect.

4. Select the Organization whose Library you'd like to upload to, and select your name in the Photographer dropdown. If you are not the photographer of the images, deselect yourself.

5. Click the Uploading to: New Gallery button. Enter a brief description of the images you're uploading and click Create Gallery.

6. Check that the other settings such as File Naming and File Settings are configured how you'd like them. Then click the Export button to upload your images.

Upload with Photo Mechanic

If you are already a Photo Mechanic user and have been invited to contribute to an organization's Libris Library, all you need are your PhotoShelter login details and you will be able to export directly to the designated Collection in that organization's Media Library.

If you already have a PhotoShelter archive, you can copy images from that account to a Libris account that you have been invited to contribute to.

  1. With the images selected in your Image Browser, click the Actions menu in the Center Pane and select Copy to Libris/Multi-User (Multi-User accounts are a legacy product).

  2. From the dropdown menu, select the organization whose Media Library you are contributing to, check the box to designate that you are the photographer, and click Submit

View images

Libris is designed to be a secure library with carefully controlled access. Unless the organization has specifically put your images into the Public Collection of their Libris media library, you will not be able to view them without being given specific permission as an Invited User to do so.

Contact the organization for an invitation or a password, depending on the Access & Visibilities permissions they may have set for your images.
